First, send your referral to [email protected]. We’ll contact you within 72 hours of receiving your referral, and provide any pre-assessment paperwork you’ll need to complete as well as our payment details. Once you’ve completed your pre-assessments forms and we’ve received your payment, we’ll send you a link to book your appointment.

For all assessments (incl. ADHD, ASD, and General Mental Health), the normal wait time for an appointment is between 1-2 weeks, depending on the individual psychiatrist’s availability. You’ll need to send a referral from your GP to start the process of booking an appointment. We’ll reach out via text with the next steps once we’ve processed your referral – usually within 3 business days.

Yes, a valid referral is required to book an assessment with us. This allows you to claim the Medicare rebate.

Typically, your GP will send the referral to us. On occasion, however, emails or faxes from GPs can take time or get lost in transit. To ensure your referral reaches us, we recommend obtaining a copy of your referral and sending it to us yourself. This additional step helps to ensure we receive your referral quickly and securely.

You can send us your referral by email at [email protected] or via Fax at 61391242702.

Your referral should be addressed to “Fluence Clinic” or be an open referral, as we cannot accept referrals addressed to other clinics. The referral must state that it’s specifically for either an ADHD assessment, ASD assessment, ADHD + ASD assessment, or Mental Health Assessment. For any assessment type, your referral must include Medicare Item Code 291.

Before booking an appointment, it’s very important that you check that your GP is willing to prescribe medication after receiving the delegation letter from the psychiatrist. For ADHD Assessments, you should ensure they’re willing to apply for a Schedule 8 Permit, as this is required to prescribe ADHD medication.

Once a referral is sent, please give us up 3 business days to process it. Once done, we’ll contact you via text to discuss the next steps and send you the pre-booking email.

Please note: We do not currently accept referrals from online GP services such as UpDoc.

We are happy for your current GP to email us at [email protected] to discuss concerns or ask questions with the hope we can alleviate their concerns.

If your GP is hesitant to prescribe, we suggest finding another local GP who better suits your requirements. Finding a GP you feel comfortable with, trust, and who suits your individual needs is a crucial part of having a great health management plan.

If you’re struggling to find an alternative GP, you can email [email protected] with your suburb details, and we will try our best to recommend GP clinics near you. Please note that we cannot guarantee we will have recommendations for your local area, and cannot guarantee that any GPs recommended will have the capacity to assist new patients at this time.

If you’d like to change your prescribing GP, please send us an email to [email protected] with your prescribing GP’s details (incl. surgery name, GP name, address, email, and phone number). We will update your report and re-send it to your new prescribing GP within 2 business days.

All assessments with Fluence Clinic are conducted by experienced psychiatrists who specialize in ADHD, Child ADHD and other mental health conditions. We will send you some pre-assessment paperwork and payment details once your referral is processed. Once the completed forms and payment have been received, we’ll send you a link to book your appointment online. This can also be done over a phone call if needed.

Yes, we will send a Telehealth appointment link 24 hours prior to your appointment. We’ll text you a reminder 60 minutes before your appointment is due to start, too.

Each psychiatrist has their own unique schedule and availability. When we send you the booking link, you’ll be able to select from all available openings for either your chosen psychiatrist, or for all psychiatrists, depending on your preference.

Yes, if the patient wants to be accompanied by a near relative or support worker they are welcome, provided the patient gives their consent for the interview to take place in the presence of another.

We do not accept referrals through online GP services such as UpDoc at this time.

To ensure the highest quality of care, our clinic practices a co-prescribing model. This approach requires close collaboration between your GP and your Fluence Clinic psychiatrist. Your GP plays a crucial role in your treatment, applying for necessary permits, initiating medications, and managing your prescriptions under the guidance of our specialised psychiatrists.

Unfortunately, referrals from online GP services typically lack the detailed medical history and specific information we need to implement this model effectively. Therefore, we kindly request that you obtain a comprehensive referral from an in-person GP. This referral should include a full medical history, include Medicare Item 291 (or 296 if picking the alternative QLD pathway), clearly state the appointment purpose, and indicate that the GP understands they’ll be co-prescribing under our model.

We understand this may require extra steps, but it is essential for ensuring that you receive the most effective and personalised care possible.

You may also be charged for cancellations, rescheduling or no-shows, in cases where you have not communicated with us at least 3 business days before your scheduled appointment.

We offer two methods for payment. The cheapest option is to pay for your assessment via bank transfer. We’ll provide the details for this in the email sent once we’ve processed your referral. Alternatively, this email will include a link to complete your payment online. Please note, however, that paying via the online link will incur a 2% surcharge.

We require full payment to be made in order to secure your appointment. Once your payment has been received and your paperwork is complete, you’ll be sent a link to book online and choose from your appointment dates.

We are unable to offer any discounts or payment plans. We require full payment to be made prior to booking an appointment.

Please check with your insurance provider if they cover a 291 Mental Health assessment. Please let them know the cost of the assessment.

We provide receipts for eligible services and individuals. This will be automatically sent to you within two hours of your appointment starting, as Medicare won’t accept rebate claims for appointments that haven’t occurred yet.

Upload the receipt using your MyGov account or ExpressPlus Medicare app, and your rebate will usually be processed within 7-14 business days by Medicare Australia.

Beyond the initial receipt we send you, we cannot follow-up for rebates as Medicare Australia is responsible. Please direct any questions to them about the rebate payment process.

If you’ve reached the Medicare safety net, usually you’ll end up with lower out-of-pocket costs for medical services outside of hospitals for the rest of the calendar year. Please head to https://www.servicesaustralia.gov.au/medicare-safety-nets to learn more, or enquire with Medicare Australia to check your eligibility.

Our referrals email and hello email both have autoresponders; if you have received that autoreply, you can feel confident your email was received.

First of all, please ensure that you have sent the email to either [email protected] or [email protected].

If you still have no success, please kindly contact us via phone on 03 6121 4298. It would be helpful if you can provide us the sender’s email address, the time that the email was sent, and a receipt of bounced notification so that we can investigate the matter further and assist you as needed.

Once your referral is received, it gets processed. This usually takes up to 3 business days. Once your referral has been processed, we’ll contact you via text with the next steps for booking your appointment.

Sometimes as a referral is being processed, our Medical Director may decide we are unable to provide meaningful, safe, and patient-centred care due to the complexities, risks, or a lack of availability for the number of regular appointments a patient may require. In these cases, we advise your GP of alternative recommendations.

It may also be that your referral was sent from a telehealth GP service such as UpDoc, whom we do not accept referrals from due to the lack of information they provide and their inability to co-prescribe as typical GP’s do.

In other cases, a patient may be from an area we cannot service for ADHD assessments yet, such as WA, NT, and NSW. We will inform your GP and let them know we recommend a local psychiatrist in these cases.

We would need to see the referral from your GP to see if a suitable psychiatrist has the right availability to take on regular appointments. Typically our psychiatrists do not have the capacity for frequent ongoing appointments, and instead offer initial assessments with reviews as needed.

A 291 referral is an initial assessment and report done by the psychiatrist, carried out at the request of the GP. This report includes a detailed history and a comprehensive management plan, which enables the GP to follow up and manage the patient.

If the initial management plan instructed by the psychiatrist has not addressed the issue of concern in a way that was expected, the GP can refer for a follow up review under a 293 review.

Once we have sent the report, we will send you email confirmation so you can make your follow up appointment with your GP, who will initiate your individualised management plan.

At Fluence Clinic, we do not prescribe – we work with GP’s to co-prescribe. Your psychiatrist will write a delegation letter, if necessary, detailing the recommended management plan and any medications to your GP.

Co-prescribing with your GP reduces the costs for patients and is a more convenient long-term option for patients, too. Instead of requiring additional psychiatrist appointments for the sole purpose of receiving new scripts, patients are able to visit their local GP and receiving consistent ongoing management from their main healthcare provider.

It would be imperative that you check with your GP, prior to seeing the psychiatrist, that he or she will be happy to apply for a Schedule 8 permit, and prescribe medication after receiving the delegation letter from your psychiatrist.

All new patients to Fluence Clinic would require a 291 initial assessment in order for the psychiatrist to confirm the diagnosis and support the patient with an appropriate management plan.

It would be ideal for a patient to have access to school reports and collateral from their parents about their childhood. If unable to access this information, we will have to rely on the patient’s recall of their childhood. While this doesn’t mean the assessment can’t be done, it is very advantageous when these additional pieces of information are available for the psychiatrist to review.

Yes, you will still need to have an initial assessment appointment with a Fluence Clinic psychiatrist.

This initial appointment with us is an important step. It allows the psychiatrist to thoroughly understand your medical history including medications, understand past and present symptoms, and confirm the diagnosis. This comprehensive understanding is vital for recommending the most effective management plan tailored to the patient’s needs.

Additionally, from a medico-legal standpoint, this process is essential to ensure that any medication or treatment is recommended only after thorough due diligence from your Fluence Clinic psychiatrist.
